Welcome to Your Neighbourhood Camp! We are committed to providing all campers a safe, and enjoyable experience. Please carefully review the following policies and procedures to ensure you are fully informed about the registration process, payment terms, and essential camp guidelines.

1. Non-Refundable Deposit/ Administration Fee
Beginning January 1st, 2025, a $100 non-refundable deposit/administration fee per child per week of camp and is included in the registration fees during booking. This non refundable amount secures your childβs spot in the camp session. It also enables our administration to process your registration, allowing YNC to effectively schedule our program based on the number of children enrolled and helps to keep the over all camp fees low. This fee is incorporated into the total payment for the session and is not an additional charge on top of the registration fee listed online. This non-refundable administration fee will not be refunded if you reschedule or cancel your session.
We do not collect a deposit on Individual day camps, including all PD day camps, single-day Summer Camp, single -day March Break Camp bookings, and Kids Night Out bookings, as these single day camps are fixed and firm, and non-refundable.
2. Cancellations and Refunds, credits, Discount Codes
We understand that plans may change. However, cancellations must be made in writing and are subject to the following policies:
Refunds
Summer Camp, March Break Camp: Refunds are granted for cancelations made 30 full business (6 weeks) or more before the first day of any week-long camp: minus a $100 non-refundable administration fee per session. Refunds are not available past June 29th when Summer Camp starts.
Refunds arenβt granted for camps that are subsidized with financial aid, discount codes or promotions.
Cancellations made with less than 6 full weeks notice (30 business days) will result in the forfeiture of all fees unless an arrangement is made with the administrator in exceptional circumstances to credit your account to use on a different date.
Refunds or credits will be not be granted for late arrivals, early departures, withdrawals, or dismissals from camp, including viral illness, unless outlined in the medical cancellation policy below.
Before and Aftercare: Before and Aftercare bookings are fixed, and firm and are non-refundable.
PA Days and single day camp bookings: Single day camp bookings are fixed and firm and are not refundable or transferable.
Discount Codes: Bookings made using discount codes are fixed and firm and are not refundable or transferable.
Credits are issued as a one-time use balance and must be used in full in a single checkout. Any unused amount cannot be saved or carried forward.
All credits expire within our camp calendar year (Dec 1, β Nov 30, ).
Credits do not roll over into the next year.Discount Codes
Discount codes cannot be combined with other sales or promotions.
One discount code may be used once per camper.
Families may register for multiple camps in one transaction using a discount code (one-time use )
We recommend booking all needed camps at the same time to maximize savings on one bill.
Use of multiple emails, sharing discount codes or any attempt to take advantage of a discount code will result in cancellation of registration.
All registrations booked using discount codes, or financial aid will not be granted refunds. This does not apply to general sales items only those where a code must be entered.
3. Medical Cancelation
In the case of medical cancellations, we require a signed note from a doctor explaining the reason for the cancellation. If approved, a credit will be applied to your account, which can be used for a future session within our the calendar year, in some circumstances we will issue a refund for medical cancelations minus the administration fee outlined above.
Viral Illnesses or minor injuries (including COVID-19 and other viral diseases, bumps scrapes or bruises do not qualify for refunds). Minor injuries or illness that occur during your childβs camp week do not qualify for medical cancelation refunds.
4. Payment Plans
Currently, payment plans are only available for week-long camps via AfterPay. They are unavailable for individual day camp bookings but can be used for multiple day camp bookings. If you choose AfterPay, please know that all disputes or issues must be resolved directly with AfterPay.
5. Discounts and Sales
Your Neighbourhood Camp occasionally provides discount codes and sales. Please note the following:
Discount codes must be applied during registration and cannot be applied after purchase.
The sibling discount applies only when both children are registered under the same family address. Proof of address may be required to verify sibling eligibility.
Any sales or discounts are valid during the specified promotion period and cannot be applied to past registrations.
6. Late/Declined Payments
Direct invoices must be paid when received unless stated otherwise on the invoice. Failure to pay an invoice will cancel your registration, and your child will not be permitted to attend camp. Previous payments will be subject to our refund policy outlined above. If your credit card is declined, you must pay immediately using a valid card. Registrations will not be secure until full payment has been completed.
7. Payment Plans
All camp registrations and payments are processed through credit card, Apple Pay, or AfterPay via our website atyourneighbourhoodcamp.ca.
Please note:
Full payment is required during registration for all online bookings.
AfterPay is a payment option for week-long camps and can be used when purchasing multiple-day camps as long as the total amount meets the minimum requirement. Please note that we do not handle disputes related to AfterPay. Any issues should be addressed directly with AfterPay.
8. Drop Off, Pick Up and Late Fees
Drop-off time is 9:00 a.m.
Pick-up time is 3:30 p.m.
Kids Night Out, drop-off is at 4:30 p.m., and pick-up is at 8:00 p.m.
All camps have a 15-minute grace period, which should not be taken advantage of and is intended for unforeseen circumstances such as traffic delays. Please text the camp phone if you will be late or require other arrangements for your child during their camp.
If your child is not picked up by 3:45 p.m. for camps and 8:15 p.m. for Kids Night Out, a late fee of $1 per minute will be incurred. You will receive a late slip from our staff. This fee must be paid in cash directly to the attending staff and settled within one business day. Failure to do so will prevent the child from being readmitted to camp.
9. Field Trip Fees
Additional fees will apply if your child is registered for a week when we are taking a field trip to Storybook Gardens, Springbank Park, or Oakridge Pool. You will receive a field trip form detailing these fees on the Monday of your camp week. All field trip fees must be paid by the Thursday of camp; otherwise, the child cannot attend the trip. Financial aid is available for families in need; please get in touch with us for more information regarding this support for field trips.
Late booking fee
After a camp has been closed for registration we are happy to accommodate your request however registrations after the deadline will incur a $25 administrative fee subject to if space is available.
10. COVID-19 /Non-presented Government Restrictions
If COVID-19 restrictions or guidelines prevent us from operating as planned, you will be credited to your account, which you can use later when restrictions are lifted. We will not provide refunds due to personal choice, outbreaks, or individual infections. We strongly encourage you to monitor your childβs health daily and inform us if they are experiencing symptoms or have been exposed to COVID-19. Campers who test positive and are fully vaccinated must stay home only during symptomatic periods.
If future unprecedented restrictions occur, we will follow all government refund guidelines and keep all customers updated.
Illness Policy
Do not send your child to camp if they feel unwell.
Fever: If a child experiences a fever above 100 degrees, they must stay home for at least 24 hours and be medication-free for 24 hours.
Vomiting or Diarrhoea: The child must stay home for 48 hours after the last episode of vomiting or diarrhea and be medication-free for 24 hours.
Coughs: If a child has a viral cough that requires a puffer, please keep them home while they take this medication. If the puffer is long-term, contact us. We will require you to complete medical forms related to the childβs puffer.
Infections requiring medication: We do not assist with children's medicines to treat short-term infections or illnesses, including antibiotics.
Allergy and Asthma, long-term medications: Parents must fill out appropriate forms before camp if their child has a medical condition such as allergies or Asthma or takes medication throughout the day. Please bring rescue medication and hand it directly to our Assistant Director when you sign your child in. Your medication must be clearly labelled with the child's full name and prescription.
11. Expulsions or Suspensions Due to Serious Occurrences
Your Neighbourhood Camp maintains a zero-tolerance policy for violence, bullying, emotional harm, and property damage.
In the event of:
Violence or bullying: Parents or guardians will be notified, and the child may be asked to leave the camp for the day. At pick-up, an incident report will be completed and signed by the parent/guardian. If the behaviour continues, the child may be expelled from the program for the remainder of the week, and no refund will be issued.
Children requiring 1:1 support due to behavioural challenges, including self-harm, will be assessed on an individual basis. Any harm to other campers caused by a child needing 1:1 support will be addressed without exception, adhering to a zero-tolerance policy. Our support workers are trained in safe management and will strive to prevent such behaviours to the best of their ability. However, if a child exhibits violent behaviour, they will be sent home.
Property damage: The child's parents/guardians must replace the damaged property.
We maintain a healthy workplace environment for our staff. We reserve the right to remove or refuse a child from our program if the childβs caregiver or anyone associated with the child is violent, aggressive or disruptive towards our program staff. We do not tolerate foul language, threatening behaviour or inappropriate conduct towards our staff students or fellow parents.
12. Clothing and Regulations
For safety reasons, campers must dress appropriately for the weather and activities.
Required attire includes:
Winter months:
snow pants
hat
gloves
coat
indoor shoes
winter boots
extra clothing in case clothing gets wet.
Summer months:
swimsuit
towel
indoor shoes
change of clothes
outdoor closed-toed shoes
Children without proper attire will not be allowed to attend camp, and no refunds will be issued for missed days due to inappropriate clothing.
13. Lunch and Water
A lunch appropriate for a busy day must be packed with all children, including a water bottle and enough food for two nutritional breaks. Children are busier at camp than school, so please accommodate this with some extra snacks. All lunch pails should have a cooling pack, as children's lunches will not be in a refrigerator. If your child is in before and aftercare, pack extra snacks in their lunch.
14. Peanut and Nut Free policy & Parent & camp provided Treats
Your Neighbourhood Camp is ALLERGY AWARE! . We understand that there are a wide range of allergies. If a camper with a serious allergy to another food is enrolled, families may be asked to refrain from bringing that specific item to camp.
Please ensure that your camper does not bring any peanut or nut products in their lunch as we are peanut/nut free.
New addition to this policy March 25,2026 While we take extensive precautions, we cannot guarantee a completely allergen-free environment. To support the safety and inclusion of all campers, parent-provided treats and any camp provided treats (including for birthdays or holidays) are not permitted at camp any longer. While we understand that these gestures are well-intended, we have many campers with a range of allergies, and it is not always possible to ensure that all items are safe for everyone at once. To maintain a consistent and inclusive environment for all children and families, we no longer allow outside treats and will also no longer be offering pizza days at camp.
We appreciate your understanding and cooperation in helping us keep all campers safe. Parents/guardians with children who have an anaphylactic allergy can view our full policyhere.
15. Camp Closures
Camp may be closed for safety reasons in extreme weather (e.g., snowstorms, power outages, or severe weather warnings), or other safety concerns. We will notify parents as early as possible, but please make alternate childcare arrangements in case of an emergency closure. If weather conditions change during a session, children will be kept safe while parents are contacted for early dismissal.
YNC reserves the right to relocate, reschedule, or cancel camp sessions due to safety, staffing, or facility-related issues. In such cases, families will be notified promptly and provided with alternative options or refunds where necessary. A complementary credit for before and aftercare may be eligible in the case of relocation.
16. Contact Information
When your child is in our care during camp hours, you may reach us by calling 519-630-0054. If your child is not in our care, please do not call our camp cell phone between 9:00 a.m. and 3:30 p.m. If you need to speak with us urgently, please email our office at admin@yourneighborhoodcamp.com. The camp phone is only used to communicate with parents/guardians of children at camp. We are located at Kings University College. Please refer to your confirmation or weekly parent email for more details on the location of your camp.
Complaints and Communication Policy
At Your Neighbourhood Camp, we are committed to maintaining a respectful, professional, and consistent environment for all families. To ensure concerns are handled fairly and accurately, we follow the communication guidelines outlined below.
How We Handle Concerns and Complaints
All complaints, concerns, and formal requests must be submitted in writing via email. This allows us to properly document, review, and respond to each matter in a fair and consistent manner.
We do not resolve complaints or policy disputes over the phone.

Phone Communication
Our phone line is intended for general inquiries and program information only.
If a concern or complaint is raised over the phone, our team will direct you to submit your concern by email. This ensures your message is documented and reviewed appropriately.
We do not engage in detailed discussions, negotiations, or policy decisions over the phone.
Response Process
Once a concern is received by email:
It will be reviewed by our administration team

A written response will be provided
Please allow time for a thorough review before a response is issued.

We are committed to maintaining respectful and professional communication at all times. We expect the same from all families.
17. Field trips Forms and waivers:
MEDICAL FORM - required for all campers, as indicated in your confirmation email.
ABOUT ME FORM -is required for all campers, as indicated in your confirmation email.
MEDICATION FORM - is required for any child who takes medication at camp. Please notify us, and we will provide it.
FIELD TRIP FORM - parents/guardians must sign a waiver and fill out additional permission forms. A small fee may be required for field trips to Storybook Gardens and Gibbons pool.

18. Inclusion & Individualized Support
At YNC, we are committed to creating a welcoming, inclusive, and safe environment where every child has the opportunity to participate and enjoy their camp experience. We recognize that some children may benefit from additional or individualized support, and we work with families to understand each childβs unique needs.
Our 1:1 Support Program provides individualized assistance for children who may benefit from additional guidance, supervision, or support during camp. When available, a dedicated support worker may be assigned to help a child participate safely and successfully in the program.
The safety and well-being of children, families, and our staff is very important to us. Some children may have support needs that require more than one staff member, particularly when there are significant safety concerns, such as a child who may leave the supervised area without authorization or who may display behaviours that could result in harm to themselves or others.
If you believe your child may require a one to one staff member or additional support to participate safely in camp, we ask that you speak with us before registration or as soon as possible once a need becomes known. This allows us to better understand your childβs needs and work together with your family to determine what supports or accommodations may be appropriate.
We will consider each childβs needs individually and make reasonable efforts to provide appropriate supports and accommodations, while also considering the safety of the child, other participants, and our staff, as well as the resources and supports available within our program.
Our goal is to work collaboratively with families to help every child have a positive, safe, and meaningful camp experience.
1. Program Overview
Our 1:1 Support Program provides children enrolled with a dedicated support worker for their camp experience. Each support worker is carefully selected based on experience, qualifications, and training. Our support workers have post-secondary education in childcare, social work, or healthcare and have experience working with disabled children.
2. Camp Facilities and Accessibility
We operate an indoor-outdoor program with accessible washrooms and elevator access for easy mobility. However, some outdoor spaces we visit, including local parks and green areas, are not fully accessible.
We plan all camp activities with inclusivity to ensure all children can participate fully. If we visit a location with limited accessibility. We will make alternative arrangements for children in our 1:1 Support Program, ensuring they are supported and able to enjoy the activity in a suitable setting.
3. Placement and Registration
After you register your child for the 1:1 Support Program, you will receive an email requesting that you complete any necessary forms and an intake meeting. These forms will help us ensure that we understand and can address your childβs specific needs.
Once the child is registered, we will assign them a dedicated support worker. If we can place your child with a support worker, you will receive an email confirming the placement with an individual plan for accommodations that we have built we ask for you to review and sign this document and make any changes before we start care.
If we cannot assign a support worker to your child, we will notify you no later than April 1st. In such cases, a full refund for the 1:1 Support Program will be issued.
4.Program Availability and Guarantees
We strive to provide a support worker for each child enrolled in the program. However, due to limited availability, we cannot guarantee that a support worker will be available every week. If this happens, we will contact you to discuss alternative options.
5. Qualifications of Support Workers
Our support workers are trained professionals, including:
Personal Support Workers (PSW)
Child Youth Care workers (CYC)
Adult staff with previous experience working with disabled children.
Our student support workers include:
CYC students (Fanshawe College practicum 2 and 4)
ABS students (Fanshawe Autism Behavioural Science Post Graduate program student placement) - Student program
Student Teachers (Western University MpED alternative field placement program) - Student program
6.Intake Meeting
A $100 intake fee applies when a family requests placement for individualized one-to-one support to enable a individualized plan of care to be made for your child.
The intake fee covers the administrative work involved in reviewing the child's needs, completing intake and placement arrangements, a in person meet and greet, and coordinating the student placement and or paid support worker.
Once a placement has been confirmed and the family has agreed to the applicable policies, the intake fee is generally non-refundable, except where a refund is required by applicable law.
1:1 Full Day Paid Support
We are a privately run business. We do not receive funding by the government or anyone else to support our services. Our paid support workers are hired for the purpose of providing support to each individual camper in need.
Online sales and discounts do not apply for 1:1 support, please reach out if you have questions regarding online sales. Do not book your child in for a camp until you have filled out the One to One request form located under summer inclusion tab.
1:1 support
$130/day
Plus Standard Camp Fees: $60/day
Total for 1:1 Support for A 5 day week of camp is $950
PA day/Single Day Camps $130per day
Plus Standard Camp Fees: $60 per day
Total for 1:1 Support for 1 day camp $190
2:1 Support
Same base camp fee $60 per day and double the rate of 1:1 support. $260 per day.
*Part time support is available as well billed by the hour at the rate of $20 per hour per support worker. This option is available for campers who only require additional support while outdoors due to safety risks, or for children attending up to 4 hours of camp per day. This can be billed as an add on to 1:1 services or on its own- standard camp fees apply.
DEPOSIT and CANCELATION and REFUNDS:
There is a non refundable deposit of 500 per week for all support worker bookings.
How Our Deposits Work
The deposit amount is based on the wage of three days for our workers wage as we guarantee three days to our support workers whether or not the client cancels. One of the reasons we have such good support workers is because of this guarantee for them. We understand parents need to cancel on dates when things come up and children may need a day off however this policy secures your support and protects the job of your support worker.
ALL deposits and admin fees are not refundable or transferable.
ALL other fees are refundable and transferable as long as you are within our guidelines in the policy listed above.
Cancelation
You may cancel anytime up to 1 week before your camp session. ( INCLUSION CARE ONLY)
Upon cancellation the family will receive a refund minus the deposit listed above. a refund will not be granted for the regular camp fee only for the 1;1 support worker fee.
7. Refunds and Cancellations
Refunds for Inclusion Care and individualized support are subject to the cancellation terms outlined in this policy.
Cancellation by the Family
Families may cancel their Inclusion Care/1:1 support booking up to one week before the scheduled camp session. This is for one to one support worker fees. cancelation for camp registration fees are subject to the policy above.
When a cancellation is made within this timeframe, all eligible support-worker fees may be refunded, less the applicable non-refundable deposit and administrative fee.
The regular camp registration fee that you book online is separate from the 1:1 support fee and is subject to the regular camp cancellation and refund policy. Cancelling individualized support does not automatically result in a refund of the regular camp registration fee.
Missed Days or Non-Attendance
If a child is unable to attend camp for a scheduled day, support-worker fees are generally non-refundable for that missed day. This includes absences due to illness, personal circumstances, or other reasons, except where a refund is required by applicable law or otherwise provided for under our policies.
Families are asked to notify YNC as soon as possible when their child will be absent.
Changes in Support Needs
If, before or during the program, it becomes clear that the support arrangement is not an appropriate fit for the child's needs, YNC will communicate with the family and review the available options.
This may include discussing additional support, a different staffing arrangement, or other reasonable accommodation options.
If YNC determines that it is unable to safely provide the level of support required for the child to participate in the program, the Director or designate will discuss the situation with the family and determine what options are available. Where a refund is applicable, eligible support fees may be refunded, less the applicable non-refundable deposit and administrative fee.
Student-Supported Camp
Fees for student-supported placements are separate from paid 1:1 support services. Any applicable cancellation or refund terms will be provided to the family before the placement is confirmed.
Unless otherwise stated, student-supported placement fees are non-refundable once the placement has been confirmed, except where a refund is required by applicable law.
Nothing in this policy is intended to limit any rights a family may have under applicable Ontario or Canadian law.8. Communication and Coordination:
We may need to communicate with you beyond the typical forms. Your cooperation in supplying relevant information will help us create a positive experience for your child. Please complete all forms sent to you. If further communication is needed, you will be contacted.
9. Student One-to-One Support Program
YNC is committed to providing an inclusive, welcoming, and safe environment for all children. In some circumstances, one-to-one support may be provided by a student completing a placement, practicum, volunteer experience, or approved practical hours.
Student support is different from paid one-to-one support provided by a qualified support worker. Students are supervised by YNC staff and are only assigned responsibilities that are appropriate for their level of training and experience.
Our priority is always the safety, dignity, and well-being of the child, the student, and the rest of the camp community.
1. Intake and Fees
A $100 intake fee applies when a family requests placement for individualized one-to-one support.
Regular camp/program fees also apply.
The intake fee covers the administrative work involved in reviewing the child's needs, completing intake and placement arrangements, and coordinating the student placement.
Once a placement has been confirmed and the family has agreed to the applicable policies, the intake fee is generally non-refundable, except where a refund is required by applicable law.
2. Confirming a Student Placement
A student 1:1 placement is confirmed when:
Required registration and support information has been completed;
Applicable fees have been paid;
The family has reviewed and agreed to the program policies; and
YNC has confirmed that an appropriate student is available and that the placement can be appropriately supervised.
Student placements depend on student availability, training, experience, supervision requirements, and the individual support needs of the child.
A student placement cannot be guaranteed for every child or every program session.
3. Role and Responsibilities of Student Support Workers
Students providing one-to-one support are learning and gaining practical experience. They are not considered a substitute for a qualified support worker or regulated professional.
Students:
Work under the direction and supervision of designated YNC staff;
Are assigned responsibilities appropriate to their training and experience;
Do not provide personal care, including toileting, changing, or hygiene assistance, unless specifically permitted by their placement requirements, training, and YNC procedures and appropriately supervised;
Do not independently manage situations involving significant aggression, violence, medical concerns, or other serious safety risks; and
May require assistance from a qualified YNC staff member when a child's support needs exceed the student's role or training.
Where a child requires a level of support beyond what a student can appropriately provide, YNC will communicate with the family about available support options.
4. Safety and Behaviour Support
Children may experience challenges with communication, regulation, transitions, or behaviour for many different reasons. YNC will approach these situations individually and with the goal of supporting the child while maintaining a safe environment.
If a situation arises where a child's behaviour creates an immediate or significant safety concern for the child, other participants, students, or staff, YNC may need to:
Provide additional staff support;
Contact the child's parent/guardian to discuss the situation;
Ask a parent/guardian to pick up their child for the remainder of the day when necessary to address an immediate safety concern; or
Review what additional supports or accommodations may be required for the child's continued participation.
Any decision regarding continued participation will be considered based on the individual circumstances and the supports available, rather than solely on the presence of a disability or a particular diagnosis.
5. Changes in Support Needs
A child's support needs may change over time or become more apparent once they participate in the program.
If YNC determines that a child's needs require a level of support that cannot appropriately be provided by a student, we will communicate with the family and discuss available options.
Depending on the circumstances, this may include arranging additional qualified support, changing the type or level of support provided, or discussing other reasonable accommodation options.
Where ongoing paid support is required and the family chooses to continue using YNC's paid support services, the applicable support fees will be the responsibility of the family unless another funding arrangement has been confirmed.
6. Review of Student Placement
Student placements may be reviewed if:
The child's support needs change;
The level of support required exceeds the student's training or role;
Additional supervision or staffing is required;
The placement cannot be safely or appropriately supervised; or
Program policies or safety procedures are not being followed.
If a student placement can no longer meet the child's needs, YNC will communicate with the family and, where appropriate, discuss alternative support or accommodation options.
Our goal is to work collaboratively with families and find a safe and appropriate way for children to participate whenever reasonably possible.
7. Other Program Policies
The Inclusion Program is also subject to YNC's general policies regarding registration, attendance, cancellations, refunds, medical concerns, safety, and other program requirements.
Families are encouraged to contact us if they have questions about student support, individualized support, fees, or any other part of the Inclusion Program.
